Great Grottos and Derbion retain about you and how we’ll store and handle that data, and keep it safe.

What data do we process?

We retain your name, address, contact numbers, email, children’s names, children’s DOB. Everything supplied during your booking.

Why do we keep it?

We retain your data so we may ensure your booking data is available at the event on the day of your visit and to contact you in the unlikely event should any changes to your booking be necessary. Derbion

Where do we keep it?

Both Great Grotto and Derbion hold data on secure data centre.

Who can access it?

Great Grottos’ Head Office team via our pre-bookings database will have access to the data for a period of 10 months. Derbion head office staff can view your data via password protected for the purpose of the event.

Who do we share it with?

Great Grottos process the data on behalf of Derbion. Great Grottos only shares your data with Derbion and no one else.

How long do we keep it?

Great Grottos retain your data for up to 10 months. At the end of that retention period, your data will be deleted completely. Derbion review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations.  We will hold your personal information on our systems for as long as is necessary for the relevant activity, as long as is set out in any relevant contract you hold with us or as long as we are required to do so by our statutory obligations. 

Your choices 

You have a choice about whether or not you wish to receive information from us when you provide us with your personal information. If you do not want to receive direct marketing communications from us about the work we do and our exciting products and services, then you can select your choices by clicking the unsubscribe link or button or the manage preferences link or button in any email communications you receive from us or ticking the relevant boxes situated on the form on which we collect your information. 

We will not contact you for marketing purposes by email, phone or text message unless you have given your prior consent. We will not contact you for marketing purposes by post if you have indicated that you do not wish to be contacted. You can change your marketing preferences at any time by contacting us by email: digital@Derbion.com or telephone on 01332 366383. 

How can I delete my data?

You may ask at any time for your personal data to be emailing
Enquiries@GreatGrottos.co.uk who hold your details for this event you booked and digital@derbion.com. Please note, it may not be possible to delete your data prior to your booking whilst still facilitating your booking.

Santa’s Magic Cabin Ride - Frequently Asked Questions

Where Santa’s Magic Cabin located?
Santa's Magic Cabin is located on level 1 next to Clark's. 

How do I buy tickets for Santa’s Magic Cabin?
Tickets can be purchased in advance via Derbion.com or purchased at the desk in the cabin, however we recommend booking in advanced as tickets can get booked quickly. Tickets cannot be refunded but can be changed to another day subject to availability. Please note that you cannot purchase or make changes to your tickets via our Customer Service Desk or Reception.

Can I change my booking date or time?
Yes. Click 'Edit Booking' on the menu above.  

Will I receive a ticket once I have booked?
Once you have placed your booking, you will receive an e-mail which will include your booking reference confirmation of payment and your E-ticket.

I have not received my email confirmation?
Please check your junk or spam folder. If you still have not received it, please email Bookings@GreatGrottos.co.uk  

What present will I receive?
As part of our sustainability drive, all of Santa's gifts are unwrapped. He has a variety of toys to suit all ages.

Are we allowed to take pushchairs in?
Yes there will be a buggy park at the start of the experience. 

Can I book for more than four children?
A second booking is necessary so that we may manage timings. Your entire party may visit at either time booked.

Do I need to print my tickets, or can I just bring them on my phone or smart device?
You can bring your ticket confirmation with you either printed out or on your mobile device. However, your booking reference or booking name will be sufficient for the Elves to find your booking.

Can my child sit on Santa?
Please do not sit your child on Santa. There will be space next to him.  

Do I have to pay for my baby?
If accompanying a paying child, babies may go free. They would not receive a gift from Santa if not paid for.  

Can we take photographs?
Yes you can take as many photos as you like. There is also an opportunity to have a professional photo taken with Santa.

Do you have toilets in Santa’s Magic Cabin?
There are no toilets in the event space, the nearest are located nearby on level 1 opposite Sainsburys or there are baby changing and feeding facilities opposite the event. It is advised to visit the toilet before entering.

Can we eat and drink in the experience?
We ask that you do not eat or drink while in the event space.

I have left something, where will it be?
All items that are left behind will be kept safe by our Elves until the end of the day, after this it will be taken to Customer Service team to be looked after until you come back.

I would like to book for a class of school children
School bookings must be made via our Head Office. Please click 'School Booking' above or call us on 01306 886 989.   

Special requirements
If a member of your party has a special requirement, please make the Elves aware upon your arrival so they may adjust your visit.
